Adding links to stored files

Your browser allows the display or download of any file stored in the Resources area. For example, a database of school pupils could be made available to Staff members as an Excel file, displayed within the browser window and is not available to anyone else if it is stored in a folder which is not a public one.

Thus, if you wish to make a document available to all, it must be stored in a folder which can be read by all. However, Firefly recognises just one area where such files are to be stored in order to guarantee that they can be read both internally and remotely, via an internet connection. This is the Resources area.

To do this, simply:-

  • Make sure that the file to be linked is inside the appropriate folder in the Resources area
  • Select the relevant text (or graphic) - e.g. the words "document 1", if a document called "document 1" is to be linked - and click on the link icon  to display the Firefly Insert Link dialog box:

  • Select Resource from the Link to: option.
  • Click on the Browse... button to bring up the Choose a resource to link to dialog box (see below for example)

  • Navigate through the folder structure (see example below) to find the file to be linked and then click on it and click OK
  • This closes the Choose a resource to link to window and inserts the correct file path into the Link Target box
  • Press the OK button to complete the process

In the example shown, some text on a page is to be linked to a file called "doc1.doc," so that this file may be downloaded by clicking on the link. The folder structure shows that the file required is within a folder called "example documents", which is inside one called "Draft user guide", itself inside the top level "Manual" folder.

Warning regarding PDF files

You should know that client machines running Adobe Reader 6 or earlier may not be able to open .pdf files within the browser and it is suggested that potential users upgrade to the current version.

N.B. You can link to files stored in folders within other top level sections in the same site too.

Linking to multiple files

Links can be made to the contents of a whole folder in one operation by using the List feature.

Linking to graphics

You can link to a graphic (as opposed to inserting a graphic into a Firefly page) so that it opens in its own window.

The method is exactly as for Adding links to stored files - you simply navigate to the graphic instead of to a "standard" file in the Resource Picker.
